This Privacy Policy explains how Part Manager Pro ("PMP," "we," "us," or "our") collects, uses, stores, shares, and protects information when you visit our website, create an account, connect external services, or use the Part Manager Pro service (the "Service").

Part Manager Pro is subscription software for inventory management, catalog organization, part relationship tracking, and marketplace quantity synchronization.

By using the Service, you agree to the collection and use of information described in this Privacy Policy.

1. Information We Collect

We collect information in the ways described below.

Information You Give Us

Account and Contact Information

When you create an account, subscribe, contact us, request support, or sign up for updates, we may collect:

  • your name;
  • business name;
  • email address;
  • phone number;
  • billing contact information;
  • account login information;
  • support communications.

Your Data

We collect and process the business data you enter, upload, import, connect, or generate through your use of the Service ("Your Data").

Your Data may include:

  • inventory records;
  • part records;
  • catalog records;
  • location records;
  • source assembly records;
  • compatibility and fitment records;
  • marketplace listing data;
  • order data;
  • quantity data;
  • transaction records;
  • customer information;
  • private notes;
  • internal business records;
  • operational workflow records.

We process Your Data to provide, support, secure, and improve the Service.

A limited portion of Your Data may qualify as Structural Data, described in Section 6.

Payment Information

Payments are processed by Stripe or another payment processor we may use.

We do not store full payment card numbers on our systems.

Payment processors may collect and process billing details, payment method information, fraud-prevention data, and transaction records according to their own terms and privacy policies.

Connected Service Information

If you connect third-party services such as eBay, Shopify, Stripe, or other platforms, we may collect and process the information needed to provide the connected features you enable.

This may include:

  • access tokens;
  • refresh tokens;
  • account identifiers;
  • marketplace listing data;
  • order data;
  • quantity data;
  • fulfillment data;
  • product or catalog data;
  • sync status records;
  • API responses;
  • connection logs.

We use connected service information to import, display, process, synchronize, and support the workflows you enable.

Information Collected Automatically

When you use the website or Service, we may collect certain information automatically, including:

  • IP address;
  • browser type;
  • device type;
  • operating system;
  • pages viewed;
  • features used;
  • actions taken;
  • referring URLs;
  • timestamps;
  • log data;
  • error reports;
  • performance data;
  • approximate location derived from IP address.

We use this information to operate, secure, troubleshoot, analyze, and improve the Service.

  • prevent fraud, abuse, unauthorized access, and security incidents;
  • troubleshoot errors and improve reliability;
  • comply with legal obligations;
  • enforce our Terms of Service;
  • develop new features, tools, reference datasets, catalog intelligence, and product intelligence as described in this Privacy Policy.

4. Marketing and Consent

Marketing consent is separate from being a customer.

Subscribing to a paid plan does not automatically subscribe you to marketing emails.

If you subscribe to The PMP Guide or other marketing communications, we may send you product updates, educational content, guides, announcements, and related messages.

We use opt-in consent for marketing email, and marketing emails include an unsubscribe link you can use at any time.

You may unsubscribe from marketing communications without affecting your account, subscription, or transactional Service messages.

5. How We Share Information

We do not sell your personal information.

We do not sell your customer information.

We do not sell your pricing, costs, inventory quantities, sales history, or transaction history.

We share information only as needed to operate, support, secure, improve, or legally protect the Service.

Service Providers

We may share information with trusted service providers that help us run PMP, including providers for:

  • hosting and infrastructure;
  • payment processing;
  • transactional email;
  • marketing email;
  • analytics;
  • customer support;
  • logging and monitoring;
  • security;
  • data storage;
  • connected service integrations.

These providers may include Stripe, Amazon Web Services, Amazon SES, Mailchimp, eBay, Shopify, and other providers we use to operate the Service.

Service providers may access only the information needed to perform their services for us.

Connected Services

If you connect a third-party service, we may share information with that service as needed to perform the actions you request or enable.

For example, if you connect a marketplace, we may send inventory quantity updates, listing updates, fulfillment information, or related data to that marketplace.

Your use of connected services is governed by their own terms and privacy policies.

Legal Requirements and Protection

We may disclose information if we believe it is necessary to:

  • comply with law, legal process, or government requests;
  • enforce our Terms of Service;
  • protect the rights, property, or safety of PMP, our users, third parties, or the public;
  • detect, prevent, or address fraud, abuse, security issues, or technical problems.

Business Transfers

If PMP is involved in a merger, acquisition, financing, reorganization, sale of assets, or similar business transaction, information may be transferred as part of that transaction.

If this happens, the information will remain subject to this Privacy Policy or a policy that provides materially similar protections, unless you are notified otherwise.

6. Structural Data

Part Manager Pro is built around part relationships. Some information entered into, imported into, or generated through the Service may describe factual relationships between parts, assemblies, models, identifiers, specifications, and cross-references ("Structural Data").

Structural Data may include facts such as:

  • which parts fit which models;
  • which parts came from which source assemblies;
  • part-number cross-references;
  • interchangeable part relationships;
  • manufacturer or aftermarket identifiers;
  • fitment relationships;
  • catalog attributes;
  • non-confidential part specifications;
  • normalized part relationship data.

Structural Data does not include:

  • your pricing;
  • your item costs;
  • your inventory quantities;
  • your sales history;
  • your transaction records;
  • your customer information;
  • your private notes;
  • your internal financial records;
  • information that identifies you or your business as the source of the data.

We may capture, aggregate, normalize, analyze, maintain, and use Structural Data to operate, improve, and expand PMP products and services.

This includes using Structural Data to build and improve reference datasets, compatibility tools, catalog intelligence, product intelligence, search tools, matching systems, workflow tools, and related PMP features.

7. Reference Datasets and Product Intelligence

PMP may create compiled, organized, normalized, aggregated, or derived datasets from Structural Data ("Reference Datasets").

Reference Datasets are separate from Your Data.

Reference Datasets may be used to improve PMP products, services, catalog tools, compatibility systems, part-matching tools, workflow intelligence, and related commercial offerings.

Reference Datasets must not include your customer information, pricing, costs, inventory quantities, sales history, transaction history, private notes, or information that identifies you or your business as the source of the data.

We do not attempt to re-identify Reference Datasets or link them back to you, and we require anyone with whom we share or sublicense them to do the same.

Deleting or exporting Your Data does not require PMP to delete Reference Datasets that have already been created, provided those Reference Datasets do not identify you, your business, your customers, your pricing, your costs, your quantities, or your transaction history.

8. Your Choices and Rights

Depending on where you live, you may have rights to access, correct, delete, export, or restrict certain personal information.

You may contact us to request that we:

  • provide access to personal information we hold about you;
  • correct inaccurate personal information;
  • delete personal information;
  • export Your Data;
  • close your account;
  • unsubscribe you from marketing communications.

We may need to verify your identity before fulfilling certain requests.

Some information may be retained when necessary for legal, security, fraud-prevention, billing, tax, backup, dispute-resolution, enforcement, or legitimate business purposes.

Deletion of personal information or Your Data does not require deletion of de-identified Structural Data already incorporated into Reference Datasets, as described in Sections 6 and 7.

9. Data Export

You may export Your Data from PMP within the limits of the Service.

Before closing your account, you should export any records you want to keep.

After cancellation or termination, Your Data remains available for export for 30 days unless access is restricted for legal, security, nonpayment, or abuse-related reasons.

After the export period ends, Your Data may be removed from active systems and later age out of backups on a rolling schedule.

10. Data Retention

We keep information for as long as needed to provide the Service, operate our business, comply with legal obligations, resolve disputes, prevent abuse, maintain security, and enforce agreements.

In general:

  • account information is retained while your account is active;
  • billing and payment records may be retained as required for tax, accounting, legal, and fraud-prevention purposes;
  • support communications may be retained for customer service, training, quality, and dispute-resolution purposes;
  • logs may be retained for security, troubleshooting, analytics, and operational reliability;
  • Your Data remains available for export for 30 days after cancellation or termination, unless restricted as described in this policy;
  • backups are deleted or overwritten on a rolling schedule;
  • de-identified Structural Data incorporated into Reference Datasets may be retained as part of those datasets.

11. Security

We use reasonable technical and organizational measures designed to protect the Service and the information we process.

These measures may include:

  • HTTPS encryption in transit;
  • access controls;
  • role-based permissions;
  • logging and monitoring;
  • infrastructure security controls;
  • backup processes;
  • administrative access restrictions.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

You are responsible for protecting your account credentials, using strong passwords, limiting user access, and maintaining appropriate business safeguards.

12. Where Information Is Stored

The Service is hosted in the United States.

If you access PMP from outside the United States, your information may be processed and stored in the United States, where privacy laws may differ from those in your location.

13. Children

The Service is intended for businesses and is not directed to children.

We do not knowingly collect personal information from children.

By using the Service, you confirm that you are old enough to enter into a binding agreement in your jurisdiction.

14. Third-Party Links and Services

The website or Service may contain links to third-party websites, services, platforms, or tools.

We are not responsible for the privacy practices, security, content, terms, or policies of third parties.

Your use of third-party services is governed by their own terms and privacy policies.

15. Changes to This Privacy Policy

We may update this Privacy Policy from time to time.

Material changes will be posted with a revised "Last updated" date. We may also provide additional notice through the Service or by email.

Continued use of the Service after updated policy changes take effect means you accept the updated Privacy Policy.

If you do not agree to the updated Privacy Policy, you must stop using the Service.
